Privacy Policy
Effective date: 29 September 2026
This policy explains what information the OrdrQ app collects, why, who it is shared with, and how you can delete it. OrdrQ is a registered Australian business name based in Emerald, Queensland. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
In short: we only collect what the app needs to work. We don't show ads, we don't track you across other apps or websites, and we don't sell your data.
1. Information we collect
Your account
- Your name and email address.
- Your password. We store it only in a securely hashed form, never as plain text.
Information you enter into the app
- Stores: store name, and any address, email, phone number and contact person you add, plus the store admin PIN if you set one.
- Suppliers: supplier names, email addresses, phone numbers, account or outlet numbers, and order and delivery days.
- Products: product names, item codes, pack sizes, units and default quantities.
- Orders: the items and quantities you order, the order date, any received quantities you record, and a copy of the details included in the order email.
- Email delivery records: when an order is emailed, we keep the recipient address and whether delivery succeeded, so you can check an order's status.
Photos (only if you use Photo Import)
Photo Import is optional. If you use it, OrdrQ asks for access to your camera or photo library, and only the photo you pick or take is sent to our server and on to xAI (Grok) to read the product list in it. We don't keep the photo after it has been processed. The only thing kept is the product details you choose to save to your catalogue.
Sign-in and device storage
To keep you signed in, the app stores a session token on your device and on our server. The app may also save some of your data on your device so it loads faster.
What we don't collect
OrdrQ doesn't collect your location, contacts, advertising identifiers or browsing activity, and it contains no advertising or third-party analytics or tracking tools.
2. How we use it
- To create and secure your account and sign you in.
- To store your stores, suppliers, products and orders so you can use them on your devices.
- To email your orders to the suppliers you choose. The order email shows your store's name and details, and if your store has an email address, it is copied on the email and set as the reply-to address so suppliers can reply to you directly.
- To send you account emails, such as password reset links.
- To read product lists from photos when you use Photo Import.
- To check whether your account has an active subscription or free trial.
- To keep the service running, fix problems and prevent misuse.
We don't use your information for advertising or marketing, and we don't sell it or share it for anyone else's marketing.
3. Who we share it with
We use a small number of service providers to run OrdrQ. They process information only to provide their service to us:
- Railway hosts our server and the database where your data is stored.
- Resend delivers emails sent by the app, including order emails (sent from orders@ordrq.com.au) and password reset emails. Resend handles the email content and recipient addresses.
- Apple handles subscription payments through your Apple ID. We never see your card details. Apple sends us the subscription's transaction ID, product, renewal and expiry dates and refund status, which we store against your account to unlock the app.
- xAI (Grok) reads the product list from a photo, but only when you use Photo Import. The photo is sent through xAI's business API only to read the product list.
Suppliers: when you email an order, the supplier receives the order along with your store's details.
These providers may store or process data outside Australia, for example in the United States. We choose providers that use industry-standard security.
We may also disclose information if Australian law requires us to.
4. Security
Data moves between the app and our server over encrypted HTTPS connections, passwords are hashed, and password reset links expire after 30 minutes. No system is completely secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
5. How long we keep it
- We keep your account and app data for as long as your account exists.
- Photos used for Photo Import are not kept after processing.
- When you delete your account, your data is removed from our database straight away (see below). Copies held in routine backups or by our email provider may take a limited time to expire.
- Emails already sent to suppliers are in their inboxes, so we can't recall or delete them.
6. Deleting your account
You can delete your account at any time in the app:
- Go to Admin, tap the person icon, then tap Delete account; or
- if the admin PIN screen is showing, tap Account, then Delete account.
Deleting your account permanently removes your user account (name, email and password) along with all the stores you own and their suppliers, products, orders, email delivery records and password reset tokens. It also signs you out everywhere. This can't be undone.
If you can't get into the app, email us at support@ordrq.com.au from your account email address and we will delete your account for you.
7. Access, correction and complaints
You can view and edit most of your information directly in the app. To ask for a copy of your information, request a correction, or make a privacy complaint, email support@ordrq.com.au. We aim to reply within 30 days.
If you're not happy with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
8. Children
OrdrQ is a business tool for store owners and managers. It isn't intended for children, and we don't knowingly collect children's information.
9. Changes to this policy
If we change this policy, we'll update this page and the effective date above. If a change is significant, we'll let you know in the app or by email.
